For teams sharing one ChatGPT/Codex pool, the quiet killer is mixing exploratory coding with production knowledge work in the same window.
What has worked for small ops/marketing/sales teams on a shared Business plan:
- Split the week: batch heavy analysis and report drafts into two fixed blocks (e.g. Tue/Thu mornings) instead of dripping prompts all day.
- Keep a short reusable brief for recurring jobs (Friday pipeline summary, competitor scan, meeting notes → CRM fields). Paste the brief + fresh numbers; don't re-explain the job every time.
- Default to a lighter model for brainstorming and first drafts; reserve the heavy model for the final pass and anything that touches numbers leadership will see.
- Put Codex/coding experiments on a separate seat or personal plan if one person burns the shared pool rewriting the same function.
Also worth tracking weekly: which prompts actually changed a decision or shipped an asset. If a habit doesn't clear that bar, cut it before December, not after the limit bites mid-month.
